POSITION:  Church Administrative Assistant

 

JOB STATUS:   Hourly

Part Time – 20 hrs/week most weeks

25 hrs/week as requested

SUPERVISOR: Finance & Administrative Manager

 

JOB SUMMARY: The Church Administrative Assistant (CAA) is the primary contact for church members and friends, as well as for the wider community, regarding questions about church activities and administration. As such, the CAA is often the “face” of First Congregational Church of Ithaca (FCCI), and must be courteous, patient, helpful, organized, and committed to contributing to FCCI’s mission, which is

to bind together people of faith and followers of Jesus Christ for the purpose of sharing in the worship of God and building the realm of God, a realm of peace and justice guided by love of self, neighbor, and creation as modeled for us in Christ’s life, teaching, death, and resurrection.

The CAA provides administrative support to the minister, the staff, and committee chairs.  The CAA handles routine office functions, as well as providing additional support for special events.

 

JOB RESPONSIBILITIES:

Weekly / More frequent tasks

  • Answer phone, answering questions and forwarding calls as appropriate.
  • Greet church office visitors, providing information and other support, as needed.
  • Set up and print weekly Sunday bulletin.
  • Maintain and update computer files, including but not limited to, the church database, the current listing of committees and their members, and calendars.
  • Prepare and send weekly e-news, Highland Highlights.
  • Work with the Communications Committee on keeping the website current.
  • Coordinate volunteer sign-ups.
  • Handle routine correspondence.
  • Provide liaison for prayer cares (Sunday and daily).
  • Meet weekly with church staff to coordinate church activities.
  • Additional duties, as assigned by Senior Pastor and Financial & Administrative Manager.

 

Monthly / Less frequent tasks

  • Provide primary administrative support to the staff and committee members for all special church programs and meetings.
  • Compile and email committee reports, along with the Council agenda (prepared by Council President in consultation with Senior Minister), in advance of Council meeting.
  • Maintain church photo directory.
  • Work with the Growth and Membership Committee to maintain visitor information.
  • Assist, as needed, with various special church functions such as weddings, memorial services, preparing special bulletins.
  • Prepare sign-up lists for all major church activities and events.
  • Maintain office equipment; call service provider as needed.
  • Compile reports—in PDF– for the Annual Report, circulating to congregation members.

 

QUALIFICATIONS:

  • A High School degree or equivalent is required.
  • A minimum of 2 years of general office experience.
  • Experience in the use of personal computers, including a command of Microsoft Word and Excel; comfort with database programs, internet use, website maintenance, and photo file management.
  • Ability to maintain strict confidentiality.
  • Ability to lift and carry 30lbs.

 

Salary commensurate with experience.
